Onboarding

From hired to first shift.

Between the offer and day one there are forms to send, photos to check, gaps to chase and a nervous wait to see who turns up. Eva, your AI employee, does that work, for one new hire or a whole week of starters, wherever the job is. You accept every document.

Your AI employee

The onboarding work, off your team’s desk.

In volume hiring, the paperwork and the no-shows cost the most time. Eva takes on the sending, checking and chasing for every starter, so your team spends its time on the people and the decisions, not on the forms.

Eva takes on

  • Picking the documents each job needs, for the country it’s in
  • Sending every new hire one link with everything for day one
  • Checking each document the moment it arrives
  • Sending back blurry photos and wrong documents with what to fix
  • Reminding anyone who hasn’t finished, so nobody on your team has to chase
  • Confirming every start two days before, and following up with anyone who goes quiet

Your team keeps

  • Approving what each job asks for
  • Accepting every document
  • Deciding anything Eva isn’t sure about
  • Hearing at once when someone can’t make it
  • Welcoming new people on day one

How a start runs

Every new hire, ready for day one.

Six steps from the offer to the first shift. Eva does the legwork in each one; your team keeps the decisions.

01 · Send

You say who’s starting. Eva sends the links.

Start onboarding from a candidate, or for a whole week of starters at once. Eva picks the documents the job asks for, sets each person’s first day, and sends every one of them their link once you approve.

02 · Fill in

One link, on their phone.

Their details, photos of their documents (front and back, or one PDF), the policies to read, and everything about their first day: where, when and who to ask for.

03 · Check

Eva checks as it comes in.

Each document against what you set: the right document, readable, the name, still valid on the first day, issued recently enough. Clear problems go straight back to the new hire with what to fix, so nobody on your team chases a blurry photo.

04 · Accept

You accept every document.

Everything waiting for you is in one queue, soonest first day first. Anything Eva isn’t sure about stays there for you.

05 · Confirm

Every start confirmed, without ringing round.

Two days before, Eva asks them to confirm and follows up with anyone who goes quiet. You hear about it the day before if someone hasn’t confirmed, and at once if someone can’t make it.

06 · Day one

They show up on day one.

You mark who arrived. Documents and details are deleted from MindMatch after the period you set, once they’re in your HR system.

Any country, any document

The right documents, wherever the job is.

Tell Eva where the job is and it drafts what a careful employer there asks for: identity, right to work, payroll and tax details, and the licences the job itself needs. You check the list before anything goes out.

For the UK, France, Germany, the US, India and the UAE, ready-made lists with Eva’s checks for each document are there to start from.

Eva’s draft: you check and adjust it before anything is sent.

Your own documents, in plain words

Add any document your jobs need and write what Eva should look for on it. Set whether it needs front and back, and whether it must still be valid on the first day.

Every job asks for its own

Pick the documents each job needs once. Eva can suggest them from the job ad, and you can adjust the list for one person.

Policies read to the end

Attach your handbook as a PDF or write it out. New hires scroll to the last page before they can tick the box, and you see when they did.

Eva does the chasing. You get more first shifts.
